POSITION DESCRIPTOR
Wheelchair Rugby Canada is seeking a dynamic and highly organized Team Operations Coordinator to support the National and next-generation wheelchair rugby high performance program. This role requires a detail-oriented individual with a strong ability to manage logistics, coordinate team services, and execute high-performance strategies.
Under the direction of the High-Performance Director, the Team Operations Coordinator will coordinate training and competition team logistics, and act as the main point of contact for team services. The role involves managing travel, accommodations, and team operations, while ensuring athletes receive the resources and support necessary for success on the national stage. Strong organizational and communication skills are essential for this fast-paced, collaborative environment.
KEY RESPONSIBILITIES
Team Logistics & Operations
- In conjunction with the National Team Coach and Health and Performance Science Lead, plan, organize, and deliver logistics for National Team training camps and competitions, including training and competition services, travel, accommodations, meals, ground transportation, etc.
- Travel with the National Team during identified camps and competitions to deliver on-site team operations and ensuring logistics run smoothly.
- Serve as the main point of contact for athletes, addressing their needs and providing necessary support during camps and competitions.
- Provide regular reports to the High-Performance Director and CEO regarding the progress of the HP program, camps, and competitions.
Team Services
- Maintain up-to-date records of National Team athletes and staff, including details on current contact information, emergency contacts, clothing sizes, allergies, food restrictions, and other relevant information.
- Support the collection, tracking, and management of intake forms and education to uphold all National Team requirements and programs, such as the Sport Canada Athlete Assistance Program (AAP) and Canadian Anti-doping Program (CADP).
- Ensure all national team members and staff are compliant with World Wheelchair Rugby (WWR) anti-doping and CADP, working in conjunction with Sport Integrity Canada to establish and maintain the National Athlete Pool (NAP)
- Team uniform and clothing planning, ordering, distribution and inventory management
- Maintain an inventory and maintenance program for National Team equipment and supplies.
- Under the direction of the High-Performance Director, manage logistics and operations for National Training Hubs and decentralized training environments, ensuring that all logistical requirements and support are met efficiently.
HP Program Coordination & Planning
- Contribute to the development and delivery of the annual high-performance program, working closely with the High-Performance Director and National Team Coach.
- Assist with budget management alongside the High-Performance Director.
- Assist the National Team Coach with the development and preparation of team schedules for training camps and competitions.
Stakeholder Relations & Communication
- Represent Wheelchair Rugby Canada (WRC) and the National Team at camps, competitions, conferences, and workshops as required.
- Communicate with Local Organizing Committees (LOCs) regarding travel arrangements, accommodations, uniforms, and transportation for National Team participation.
- When possible, provide digital content for social media whilst traveling with the team.
REQUIREMENTS AND SKILLS
- Previous experience in sports administration, preferably within a national or high-performance sports environment.
- Strong organizational and multitasking skills with an ability to manage competing priorities.
- Excellent communication skills, both verbal and written, with the ability to interact effectively with various stakeholders.
- Experience in budget management and financial reporting.
- Knowledge of performance services, athlete management, and IST resources is an asset.
- Ability to work independently and as part of a team.
- Familiarity with Wheelchair Rugby and adaptive sports is an advantage.
- A valid driving licence
- This role requires frequent travel within Canada and internationally with the National Team to camps and competitions.
- Flexible working hours, including evenings and weekends, depending on events and deadlines.
